Time sheets

Time sheets allow your personnel to provide time sheet information directly to you admin team.

To successfully setup time sheets you must:

  • Create rate cards

    • Create Rate Categories

  • Add Personnel


Create Rate Cards

Rate card contain the List Rates that will be applicable when the Rate card is allocated to Personnel

Adding Rate Categories

Add rate to each rate card

  • Select the day the rate will apply to

  • Start time of the rate category

  • End time of the rate category

  • Initial Rate Code (Normal)

    • Rate hours

  • Second Rate (Overtime)

    • Rate hours

  • Third Rate

    • Rate hours

  • Fourth Rate

    • Rate hours

  • Fifth Rate

    • Rate hours

 

Rate cards are customisable to suit your needs and depending on your requirements.

Every rate card should always have a 24 hour period covered so all work can be allocated as per the List Rates.

If you have a single rate card for an entire day, it should be from 12:00 AM to 12:00 AM

  • Monday 12:00 AM to 12:00 AM (Normal M-F)

Multiple rate cards for a single day should cover the entire 24 hour period

  • Monday 12:00 AM to 8:00 AM (M-F After 5PM)

  • Monday 8:00 AM to 5:00 PM (Normal M-F)

  • Monday 5:00 PM to 12:00 AM (M-F After 5PM)

 

If there is no applicable list rate for a period that was worked, the Total Hours will still be reported however only the hours that fall into the List Rate will be separated.

List Rate: Monday 8:30 AM to 5:00 PM (Normal M-F)

  • Hours worked: 7:00 AM to 6:00 PM

Only the hours worked in the List Rate period will be separated.

 

Setting up your List Rates

Example 1

Normal 5 day week

  • Overtime occurring after 7.5 hours worked each day

Time and a half on the weekend

  • Double time occurring after 3 hours worked on the weekend

Example 2

If you need to separate your days hours into multiple Rate Codes, you reed to create multiple List Rates for each day.

A standard Monday to Friday working week starting at 8:30AM and ending at 5:00 PM however:

  • all work after 5:00PM will be reported as M-F After 5PM

  • all work after Midnight will be reported as After Midnight

Adding Personnel

Before time sheets begin collecting data, each staff member needs to be created as Personnel.

From the main menu, select Personnel

  • First Name

  • Last Name

  • Phone Number
    This must match the number you staff have registered with LivMate

  • Personnel Type

    • if Other, Please Specify

  • Rate Card

  • Is Enabled

Press Save & Close / Save & New button to create personnel.

 

Approving time sheets

Approving multiple personnel time sheet

You have the option to approve time sheets which locks the entry so Personnel can no longer edit the entry.

In Personnel, click on List Time Sheets.

Here you can set your date ranges and approve all the records shown by using the approve all option.

Approving individual time sheet record

Individual time sheet records can be approved via the main menu List Time Sheets option

Double click or edit the individual record in question and check the Approved check box. This will lock the record so it can no longer be changed by Personnel.

 

Registering with LivMate

Staff must register with LivMate to access the time sheet functions.

  • This can be done when they first scan the LivMate QR code.

Adding a Time sheet

Once you have logged on to LivMate via scanning a QR Code or venue shortcut, you begin your shift by checking in. This will automatically begin your shift.

 

 

 

Once your shift has been completed, checking out will end your shift and your current time sheet record.

 

 

Taking Breaks

Fixed break

If your venue is setup under a fixed break, then the Take Break button will automatically add a predetermined break when it is pressed.

 

Non-Fixed Break

When the break button is pressed, your break records begins.

Taking a break automatically creates a new break record separate from your Current Shift.

Once your break is over, your required to press the End Break. This will close the current break record.

When its time to end your break, press the End Break Button. This will close the On Break record and complete your break.

 

Viewing Onsite Personnel

When a person checks in with LivMate that have been recorded as Personnel, they will appear on the Personnel (On Site) page. This lists all personnel everyone that is currently checked in to the site.

Venue, Area, Zone and Table information will also be displayed on this page making is easy to see who is on site.

 

Time Sheet Reporting

You can generate two types of time sheet reports and these can be found under the Reporting menu.

Time sheet Reporting

When report type: PDF is selected, you will be provided with all employee types that have time sheet records in the period chosen.

When selecting CSV as your report type, you must enter Rate Card or Personnel.

The CSV data will be generated to a new web page where it can be copies or saved as a .csv
